Information you provide
When you use the contact form, we receive your name, email address, project description, and any company name, services or deadline you choose to provide. The form is processed through WordPress and WPForms, and its notification is delivered to our Google Workspace business mailbox. Direct emails and subsequent correspondence are also processed there.
The required fields allow us to understand and respond to your request. You do not have to submit an enquiry, but without contact details and a project description we may be unable to respond usefully. Please do not include patient details, identity documents or other sensitive personal information in an initial enquiry.
Why we use information
- Enquiries and quotations: to respond, clarify requirements and prepare an offer. If you are a prospective contracting party, this is necessary to take steps at your request before a contract. For contacts acting on behalf of a business, our legitimate interest is handling relevant business communications.
- Client administration: to arrange and deliver agreed services and maintain necessary business records, based on the contract, applicable legal obligations, or our legitimate interest in administering a business relationship.
- Website security: technical information such as IP addresses, request times and browser information may be processed by hosting and security systems to operate the site and prevent abuse. The relevant legitimate interest is keeping the website and communications secure.
- Optional analytics: Google Analytics processes website usage information only after your consent.
Cookies and analytics
Your browser stores your cookie preference for 180 days. If you accept analytics, Google receives information such as page views, interactions, referral details, browser and device information, and cookie identifiers. You can reject analytics without losing access to the website or enquiry form.
Use Cookie settings in the footer to change your choice or withdraw consent. Withdrawal stops future analytics loading but does not undo earlier lawful processing. Our cookie notice explains the storage and controls.
Who receives information?
Information is handled by Henri Broekman and the service providers needed to run the website and business communications. Name.com provides website hosting. WordPress, WPForms and WP Mail SMTP process website enquiries and their delivery to our Google Workspace business mailbox. We also use UpdraftPlus to create website backups stored in Google Drive. Google Analytics receives usage information when you consent. Advisers or public authorities may receive information where required for legitimate business administration or by law.
Installing a WordPress plugin does not necessarily mean its developer receives form submissions. WPForms Lite Connect cloud entry backups are disabled. Website backups can contain personal information held in the website database and files. We have accepted the Google Workspace Cloud Data Processing Addendum and the Google Analytics data-processing terms.
International processing
Our providers may process information outside the European Economic Area. Name.com has told us that hosting data is stored in various regions worldwide; it has not identified the countries for our hosting service. We have requested clarification of the applicable processing locations and international-transfer safeguards. Google services are governed by their applicable service and data-processing terms. You can contact us for the available information about international processing and safeguards. Name.com publishes its hosting terms and data-processing addendum in its legal policies.
How long is information kept?
Enquiries that do not lead to a project are retained for up to 12 months after the last contact, then deleted from our mailbox and any stored form entries as part of a regular deletion review. Information needed for a specific legal obligation or dispute may be retained longer for that purpose. If an enquiry becomes a project, relevant information becomes part of the client record and is subject to the applicable contractual and statutory retention requirements. Name.com support states that its hosting backups are deleted and replaced after 48 hours. This statement concerns provider backups, not our separate UpdraftPlus copies in Google Drive. Name.com also states that hosting data remains retrievable while the hosting product is in our account; this does not specify a separate log-retention period or a deletion deadline after cancellation, and we have requested clarification. Our own backup retention depends on the configured backup rotation; manually preserved backups remain until we delete them.
Google Analytics event and user data retention is set to two months, with reset on new user activity switched off. This setting does not limit the retention of standard aggregated reports.
The 180-day cookie-choice period and cookie expiry dates described in our cookie notice are separate from email, project-file and analytics-data retention.
Your rights
Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your personal data. You can object to processing based on legitimate interests and withdraw consent for processing based on consent. These rights are subject to their legal conditions; for example, a legal record-keeping duty can limit deletion.
Email enquiries@broekmanlanguage.nl to make a request. We may ask for proportionate information to verify your identity. We will respond within one month; if a legally permitted extension is necessary, we will explain why within that first month.
You can complain to the Autoriteit Persoonsgegevens, the Dutch data protection authority, or to the relevant supervisory authority where you live or work. You do not have to contact us first.
Project documents and confidentiality
This notice covers website visitors and business contacts. If translation material contains personal data belonging to other people, responsibilities, instructions, security arrangements and any required data-processing agreement must be established for that project before files are shared. Please begin with a non-confidential description.
Automated decisions and external links
The website enquiry process does not make automated decisions with legal or similarly significant effects about you. Links to external services, such as LinkedIn, take you to services with their own privacy notices.
Updates
This notice will be updated when the website or its data-handling arrangements change. The date above identifies the latest revision.
